A signature has one job: make it easy for the reader to act. Everything else, the quote about success, the four social icons, the 300-pixel logo, the "Save paper" footer, makes the email longer and the reply less likely. These templates are deliberately short.

Formatting Rules That Keep Signatures Working
- <strong>Use text, not an image.</strong> Many clients block images by default, so an image-only signature shows as an empty box, and your contact details become unselectable.
- <strong>If you must use a logo,</strong> keep it under about 100 KB and no wider than roughly 300 pixels, hosted on your own domain.
- <strong>Two to four lines.</strong> Anything longer gets collapsed behind the "…" in Gmail on mobile.
- <strong>Keep font and size close to the email body.</strong> Mismatched fonts are the most obvious sign of a pasted signature.
- <strong>Use a plain separator</strong>, such as a simple line, not a coloured table border.
- <strong>Test on a phone</strong>, in dark mode, and by sending to a Gmail and an Outlook address before rolling it out.
- <strong>Skip tracking pixels in one-to-one email.</strong> They add nothing for normal correspondence and can hurt deliverability.
Lines Indian Businesses Sometimes Need
- <strong>Confidentiality notice:</strong> common for CAs, lawyers and healthcare. Keep it to one line.
- <strong>Registration numbers:</strong> RERA for real estate, council registration for doctors, firm registration for CAs, where professional rules require it.
- <strong>GSTIN:</strong> useful on billing and vendor correspondence, unnecessary on everyday email.
- <strong>Unsubscribe link:</strong> not needed in personal email, but mandatory in bulk marketing email. Do not mix the two.
