The best CRM software for small business in India is the one your sales team will actually open every morning. For most Indian SMBs that means three things: leads from Meta, Google and portals land in it automatically, calls and WhatsApp chats get logged without extra typing, and the bill arrives in rupees with a GST invoice.
This guide compares eight CRMs commonly used by Indian small businesses, with prices taken from each vendor's own pricing page in September 2026. What Matters When Choosing a CRM in India
Most "best CRM" lists are written for American buyers, so they compare email sequences and AI features. In the Indian accounts we audit, deals are won or lost on the phone and on WhatsApp, and the leads come from Meta lead forms, Google Ads, IndiaMART, Justdial and property portals. Judge every CRM on these six points before you look at anything else.
1. WhatsApp integration
Ask whether the CRM connects to the official WhatsApp Business Platform (the API) or only opens WhatsApp Web on a salesperson's phone. The API route lets the whole team share one business number, log every chat against the lead and send approved template messages. It also means paying Meta's per-message charges, which our WhatsApp Business API pricing guide breaks down. Check which plan includes it: on HubSpot, for example, connecting WhatsApp needs a Marketing Hub or Service Hub Professional or Enterprise subscription, not the free or Starter plans.
2. Indian telephony and call recording
If your team makes 50+ calls a day, calling inside the CRM matters more than any dashboard. There are two models: SIM-based calling through the CRM's Android app (the call goes from the salesperson's own number and is logged and recorded), or cloud telephony and IVR from an Indian provider plugged into the CRM. Ask which Indian telephony providers the CRM integrates with, whether recordings are stored, and for how long.
3. Lead sync from ads and Indian portals
Every minute a Meta or Google lead sits in a spreadsheet costs you conversion. Check for direct syncing of Facebook and Instagram lead forms and Google Ads lead forms, and, if relevant to you, IndiaMART, Justdial, Sulekha, 99acres, MagicBricks and Housing.com. Some CRMs do this natively; others need Zapier or a paid connector, which adds cost and another thing to break.
4. Data residency and the DPDP Act
India's Digital Personal Data Protection Act does not require every business to keep customer data inside India, but you remain responsible for how your CRM vendor handles it. Two practical checks: where the data is hosted (Zoho runs data centres in Mumbai and Chennai; Freshworks lists India among its hosting regions for Freshsales), and whether the vendor will sign a data processing agreement. 5. Mobile app quality
Field sales staff and owners who run the business from their phone will judge the CRM by its Android app. During the trial, install it on a mid-range Android phone, not the owner's flagship, and check offline use, call logging and how many taps it takes to update a lead.
6. Regional language and ease of use
If your telecallers are more comfortable in Hindi, Telugu or Tamil, ask whether the app interface is available in those languages and whether fields and templates can be written in them. None of the pricing pages we checked made clear claims about Indian-language interfaces, so treat this as a demo question and test it yourself.
CRM Tools List: 8 CRM Software Examples Used in India
All prices below are per user per month unless stated, taken from the vendors' official pricing pages in September 2026. Where a vendor shows INR, we quote INR. Assume 18% GST on top unless the vendor says otherwise, and confirm it on your quote.
1. Zoho CRM and Bigin by Zoho
Zoho is the default choice for many Indian SMBs, and for sound reasons: INR pricing, data hosted in India for Indian sign-ups, and a huge range of connected apps (Books, Desk, Campaigns). Zoho CRM's pricing page lists a free edition for 3 users, then Standard at ₹800, Professional at ₹1,400, Enterprise at ₹2,400 and Ultimate at ₹2,600 when billed annually (₹1,300, ₹2,100, ₹3,000 and ₹3,200 on monthly billing). Zoho states that GST is charged in addition. Its help centre says the native WhatsApp Business integration works in the trial and all paid editions, once you have a verified Meta business account and WhatsApp Business API number.
Bigin is Zoho's simpler CRM for small teams. The free plan is for a single user with one pipeline, 500 records and a built-in phone. Express costs ₹400 (annual) or ₹550 (monthly) and adds 3 team pipelines, 50,000 records, WhatsApp Business and email integration, and Facebook, Instagram and LinkedIn lead-ad integration. Premier is ₹720 annual or ₹900 monthly. For a 3–8 person team leaving Excel, Bigin is where we would start.
2. HubSpot CRM
HubSpot's free CRM now allows up to 2 users and 1,000 contacts, with no time limit. It is polished, easy to learn, and strongest when your leads come from content, SEO and email. The catch is the price jump: Starter lists at US$20 per seat per month (promotional prices are often shown), and features Indian SMBs care about, such as WhatsApp, sit in Professional tiers that cost many times more. Billing is in US dollars, so check whether you will receive a GST-compliant invoice before you commit.
3. Freshsales (Freshworks)
Freshsales is a clean, well-built sales CRM with calling, email and chat in one place. Its pricing page showed Growth at US$9, Pro at US$39 and Enterprise at US$59 per user per month billed annually, with a 21-day free trial and no free plan listed when we checked. Freshworks lists India among the hosting regions for Freshsales, and it bills in INR as well as dollars. It suits B2B teams with a structured sales process; ask for INR pricing and GST details in the demo.
4. LeadSquared
LeadSquared is an Indian CRM designed for high-volume B2C sales: education admissions, lending, insurance and healthcare. Its sales CRM pricing lists Sales Pro at ₹2,500 and Sales Super at ₹5,000 per user per month, billed annually, with a sales-led "Let's Talk" process rather than self-serve sign-up. The mobile app supports offline mode, check-in and check-out, geo-fencing and cloud calling, which makes it a strong fit for field teams. It is more CRM than a 5-person shop needs.
5. Salesforce Starter Suite
Salesforce's India pricing page lists the Starter Suite at US$25 per user per month, billed monthly or annually, and a Free Suite for a maximum of 2 users. Pro Suite starts at US$100 per user per month, billed annually with a contract. Salesforce makes sense if you already expect to grow into its ecosystem or your parent company uses it. For a typical Indian SMB, it is more expensive and more complex than the alternatives here.
6. Pipedrive
Pipedrive is built around a visual deal pipeline and is very easy for small B2B teams to adopt. Its pricing page showed Lite at US$14, Growth at US$24, Premium at US$49 and Ultimate at US$69 per seat per month billed annually, with a 14-day free trial and no free plan. It is a good fit for agencies, IT services and consultants with long email-driven deals. It is weaker on Indian telephony and portal integrations out of the box, so check the marketplace for your providers.
7. Kylas
Kylas is an Indian sales CRM that prices by plan rather than by user. Its free Embark edition allows unlimited users and 10,000 records, and its paid plan is a flat monthly fee with unlimited users and 100,000 records (see the Kylas pricing page for the current INR figure; we could not confirm it). Its feature pages list built-in WhatsApp Business, calling, and Android and iOS apps. The flat pricing is attractive when many part-time staff need a login.
8. TeleCRM
TeleCRM is a WhatsApp-first, calling-first CRM built for Indian telecalling teams. Its pricing page lists ₹799 per user per month billed annually or ₹1,099 billed quarterly, with a minimum of 3 users. WhatsApp API setup is a one-time ₹1,999 (you still pay Meta's messaging charges), and it captures leads from Facebook Ads, Google Ads, IndiaMART, Justdial, Sulekha, 99acres, MagicBricks and Housing.com. Calls are logged and recorded from the Android app. The pricing page does not state whether GST is included, so ask.

Free CRM Software: What You Actually Get
Free CRM software is useful for proving that your team will use a CRM at all. It rarely lasts past the first hire or the first 1,000 leads. Here is what each free option includes, based on the vendors' pages in September 2026:
- <strong>Kylas Embark:</strong> unlimited users and 10,000 records. The most generous on users.
- <strong>Zoho CRM Free:</strong> 3 users, with leads, deals, workflows, reports and the mobile app.
- <strong>HubSpot free tools:</strong> 2 users and 1,000 contacts, with HubSpot branding on live chat.
- <strong>Salesforce Free Suite:</strong> a maximum of 2 users.
- <strong>Bigin Free:</strong> 1 user, 1 pipeline and 500 records. Good for a solo consultant, not for a team.
Our view: use a free plan for a two-week pilot with real leads, then decide. Do not build six months of processes on a free plan whose limits you will hit, because the upgrade decision gets made under pressure.
Which CRM for Which Business: Decision Table
A Pune D2C brand selling mainly through its own website may not need a sales CRM at all at first. Its customer data usually lives in Shopify or WooCommerce, and email and WhatsApp tools handle retention. A CRM starts to earn its keep when you add B2B, wholesale or distributor sales with a human follow-up process.
10 Questions to Ask in Every CRM Demo
Vendor demos are designed to show the best parts. Take this list into every demo and ask the salesperson to show you, live, rather than tell you.
- <strong>Lead sync:</strong> "Show me a Meta lead form entry arriving in the CRM. How long does it take?" Ask the same for Google Ads and any portal you use.
- <strong>WhatsApp:</strong> "Is this the official WhatsApp Business API or WhatsApp Web? Which plan includes it, and who pays Meta's charges?"
- <strong>Calling:</strong> "Which Indian telephony providers do you integrate with? Are calls recorded, and where are recordings stored?"
- <strong>Data location:</strong> "Where will my data be hosted, and will you sign a data processing agreement?"
- <strong>Real price:</strong> "What will 5 users cost for a year, including GST and add-ons? Is there a minimum user count?"
- <strong>Invoice:</strong> "Will I get a GST invoice in INR with your GSTIN, so I can claim input tax credit?"
- <strong>Mobile:</strong> "Can a salesperson update a lead and log a call on Android in under a minute, including offline?"

How to Migrate to a New CRM Without Losing Leads
Most failed CRM rollouts we see fail at migration, not at product choice. A clean move takes two to four weeks for a small business. Follow this order:
- <strong>Clean before you move.</strong> Remove duplicates, standardise phone numbers to one format (for example +91 followed by 10 digits) and delete dead leads older than a year you will never call.
- <strong>Map your fields.</strong> List every column in your spreadsheet or old CRM and decide where it goes. Create custom fields first, then import.
- <strong>Import in stages.</strong> Start with active deals and open leads, check them, then bring in historical contacts.
- <strong>Switch lead sources last.</strong> Reconnect Meta, Google and portal lead forms only after the team is trained, then check that new leads arrive for a few days.
- <strong>Run both systems for one to two weeks</strong>, then switch the old one to read-only so nobody keeps updating it.
- <strong>Get consent right.</strong> Carry over consent records and opt-outs, especially for WhatsApp and SMS, so you do not message people who have said no.
